Invite your team

Send a one-time onboarding link that adds a teammate to your workspace, with their role, pay, and monitoring policy already set up before they even join.

Who this is for

Owners, in practice. Inviting someone needs the permission that manages members, and the default Manager role doesn't include it. The screen's own copy says "owners & managers," but a manager only gets this if your organization has explicitly granted them that permission through a custom role.

Before you start

You'll need the teammate's work email address. It's the only field the invite requires. Everything else (title, role, pay, monitoring limits) is optional and can be set later.

Steps

  1. Open Settings, then select Teammates under Workspace, or go to Team and select Invite people.
  2. Select Add person.
  3. Choose Employee or Contractor for their worker type.
  4. Enter their Work email. Optionally fill in a job title, country, department/team, time zone, and roles to grant.
  5. Optionally set a pay rate, billing cycle, and monitoring limits. Every field here is optional; sensible defaults apply if you leave them blank.
  6. Review the summary, optionally add a personal welcome message, then select Send invite.
  7. In the Invitation ready dialog, select Copy, then share the link with your teammate yourself. WorkMonitor doesn't email it for you.

What happens next

The link works once and expires after 7 days. When your teammate opens it, they set their own name and password to join. Their role, scope, pay, and monitoring policy all apply the moment they accept. Until then, the invite sits in Invite people's pending list, where you can revoke it at any time; revoking stops that link working immediately, and you can always send a fresh one.

Inviting the same email again while an invite to them is still pending doesn't fail. It just replaces the earlier link with a new one.

If it doesn't work

  • If you don't have access to invite people, you'll see "You don't have access to team administration": "Adding people is limited to owners and managers. Ask an owner if you need access."
  • If that email already belongs to someone in your workspace, sending fails with "that email is already a member of this org."
  • If another access problem trips the send, you'll see "Your session may have expired, or you don't have access to this."
  • If something else goes wrong, you'll see the server's own message, or "Couldn't create the invite."
  • If copying the link fails, select the text in the field and copy it by hand. You'll see "Couldn't copy. Select it manually."
  • To cancel an invite you no longer want to send, select Revoke on it in Invite people and confirm Revoke invite.
