Timesheets

Timesheets is where you clock in and out, turn a week's tracked hours into a timesheet, and move it through submission and approval.

Who this is for

Everyone can open Timesheets and manage their own hours: clock in and out, build a draft, and submit it. Picking a teammate's timesheet instead of your own needs the permission that manages time, which the Owner role and the Manager role carry by default. Without it, the picker still works, but the page shows "You can only view your own timesheets" instead of a list.

What you'll see

  • An Attendance section at the top with a clock card: a Clock in or Clock out button, the live shift length while you're on the clock, and today's punches.
  • A member picker and a week picker in the header, plus a button labeled Build draft, Recompute draft, or Rebuild draft, depending on whether a timesheet already exists for that week.
  • A list of the picked member's timesheet(s) for the week, each row showing the period, the total hours, and a status badge: Draft, Submitted, Approved, Rejected, or Locked.
  • Selecting a row opens its detail: the time ledger on one side (every entry with its source, times, and minutes; a correction shows the original struck through above its replacement, so an edit never silently disappears), and the approval chain on the other, next to whichever workflow button applies to the sheet's current state. Before anything is submitted, the chain reads "Not yet submitted: the approval chain opens on submit."

What happens next

A timesheet moves through one state at a time: a draft is submitted, a submitted sheet is approved or rejected, and an approved (or locked) sheet can only be edited again by reopening it. The task articles below walk through each of those steps.

If it doesn't work

  • "Couldn't load your team": the roster failed to load; retry from the button shown.
  • "No team members yet" / "Once people join this organization, their timesheets will appear here." The org has no other members yet.
  • "You can only view your own timesheets" / "Viewing another member's hours requires a manager role." You picked a teammate without holding the permission that manages time.
  • "Couldn't load timesheets": the list failed to load for the current member and week; retry from the button shown.
  • An empty week names the dates and offers a Build draft button right there, with the note "Build a draft to total this member's tracked hours for the week, then submit it for approval."
  • Any other failure shows the server's own message, or, when your session itself is the problem: *"Your session may have expired, or you lack access to this record."*
