Approve a timesheet

Approve a submitted timesheet to lock its hours for payroll, or reject it to send it back for correction.

Who this is for

Managers and owners. Deciding on a submitted timesheet requires the permission that manages time. A member can build and submit their own timesheet, but can't approve or reject it, even their own.

Before you start

The timesheet must be in the Submitted state. A sheet still in Draft shows a Submit for approval button instead, and one that's already Approved or Locked shows a Reopen button instead. Approve and Reject only appear on a submitted sheet.

Steps

  1. Open Timesheets and choose the member and the week from the pickers at the top of the page.
  2. Select the submitted timesheet from the list for that week.
  3. Review the time ledger and the approval chain shown alongside it.
  4. Optionally, add context in the Decision note (optional) field.
  5. Select Approve to accept the hours as they stand, or Reject to send the sheet back for correction.

What happens next

Approve moves the timesheet to Approved and locks its entries for payroll. No further attribution changes can be made to them until someone reopens it. A Reopen button takes its place for a manager who needs to make a correction later; reopening is the only way back into a locked week.

Reject moves the timesheet to Rejected and leaves its entries editable. The member corrects their week and rebuilds the draft to resubmit it.

If it doesn't work

  • The Approve, Reject, and Reopen buttons are not hidden from you just because you lack the permission. They render for anyone who can open the timesheet. If you select one without holding the permission that manages time, you'll see a "Not permitted" toast: *"Approving timesheets requires a manager role."* Only after that does the button disappear, for the rest of that visit.
  • If you try to view a teammate's timesheets at all without that permission, the page shows "You can only view your own timesheets" instead of a list.
  • If the request fails for another reason, the toast reads the server's own message, or, when your session itself is the problem: *"Your session may have expired, or you lack access to this record."*
